Step by step

  1. Open the relevant client or project and click Add issued invoice.
  2. Enter the invoice number or title, dates, currency and amounts from the invoice you already issued.
  3. Attach the existing invoice file when needed. Check the client/project and status, then save.
  4. Open Receivables and find the invoice using search, the status views or Filters → Client. The overview uses your reporting currency; each row keeps its own currency.
  5. Inspect a proposed incoming payment and click Confirm payment or Not this one after comparing both records.
  6. Use Choose a payment, select a bank transaction, then Link this payment. Use Remove link to remove an incorrect connection. Open Original file for the source document and Edit invoice for corrections.

Check payment evidence

Open a receivable and inspect Details & payments. Use Confirm payment or Not this one on a suggestion. Choose a payment opens the bank-payment chooser; select a payment and Link this payment. Tick Installment when appropriate. Remove link removes an incorrect association. More actions → Mark paid (no bank row) records paid status separately from bank evidence.

Recording is different from sending

The Add issued invoice form records an invoice and optional file; it does not email the invoice. You can also use Upload invoices in Receivables for existing issued invoices. Use Edit invoice for corrections. Set aside and Bring back manage review; a possible re-issue may offer Mark void. Search, status views and Filters → Client narrow the list. Match payments retries matching for open invoices.

Check the result

The invoice should appear under the intended client/project and in Receivables. This flow records an issued invoice; it does not email the invoice to the client.

Open the invoice and inspect its incoming payments and any remaining balance. Mark paid (no bank row) records a manual paid status without creating a bank transaction or payment evidence. Add an explanatory note when you use it. A delivered or accepted project does not automatically prove its invoice was paid.

Before you begin

Receivables are invoices issued by your business to customers. GoodCompany subscription invoices belong in Settings → Billing. You need receivable access and the relevant creation or editing permission; linking a project requires a valid project under the selected client.

Labels use the English interface. Available pages and actions depend on your company, plan and permissions.
