Before you start
Import or sync the relevant bank period first. You need access to the invoice and permission to change its payment links. Have the invoice and bank reference available. An installment is one of several payments for one invoice; a split payment covers more than one invoice.
Find and link the payment
- Open the invoice’s Details & payments. Inspect any suggestion; use Confirm payment for a receivable or Confirm match for a bill only when the evidence agrees. Choose Not this one for an incorrect suggestion.
- Use Choose a payment for a receivable or Choose a transaction for a bill. Search by counterparty or reference and adjust the payment filters if the row is missing.
- Compare the selected payment’s amount, currency, date and reference with the invoice. For an installment, tick Installment to keep the invoice’s other payment links, then choose Link this payment.
- For a receivable payment already used by another invoice, read the warning. Link as split keeps the other link. Move here moves the payment to this invoice; use it only when the previous association was wrong.
- Reopen the invoice and inspect the linked payments, allocation and remaining balance. For a receivable, a part payment may show Partly paid rather than Paid.
Cross-currency payments need extra checking
An invoice and its payment may use different currencies, and bank charges can explain a difference. Compare the source documents and any cross-currency explanation. The chooser does not offer an exchange-rate or custom allocation field. If the resulting allocation or balance is wrong, remove the incorrect link and report the invoice, payment and currencies through support; do not mark it paid simply to clear the difference.
If the payment is still missing
Check the correct company, bank account and booking period. Wait for an active import to finish. Try Retry matching when more evidence has arrived. A missing match is not proof of nonpayment; keep the invoice open until you can verify the bank evidence or deliberately record a manual paid status.
Correct a wrong association safely
Choose Remove link on the payment card, then choose the correct payment. This removes the association, not the invoice or bank row. Confirm the refreshed balance before linking another payment.
