Before you change access
You need permission to manage this mailbox. Sharing a mailbox exposes its accessible conversations to the selected audience; review the address and intended audience before changing it. Personal notification choices are separate from sharing.
Set sharing, footer and alerts
- Open Settings → Mailboxes and edit the intended address.
- Review the mailbox visibility and choose private, selected people or company access from the sharing control. For selected people, check the recipients, then save the sharing change.
- Edit Email footer for the signature text you want available when composing. Review Footer in a message before sending; a footer is not a substitute for checking the message.
- Under Your notifications, set new-mail alerts and the sound you want, then save the mailbox changes.
- Reopen the controls to verify the saved settings. Check browser notification permission if enabled alerts do not appear.
Check the boundary
Task, calendar and lead notification preferences are under Settings → Security. A colleague’s membership does not automatically give them access to a private mailbox. Company owners can access all company mailboxes; private sharing does not hide them from the owner. If someone cannot see mail, check both their Inbox permission and the mailbox’s sharing.
Labels use the English interface. Available pages and actions depend on your company, plan and permissions.
