Connect email with Google, Microsoft or IMAP

Before you start

You need permission to manage mailboxes, room within the company’s mailbox allowance, and the provider account’s authorization. A connected mailbox is separate from using Google or Microsoft to sign in to GoodCompany. Check the company name first, especially if you work in several companies.

Connect and choose historic analysis

1. Open Settings → Mailboxes. Choose the available Google or Microsoft connection, or Custom IMAP for another provider.
2. When asked Analyze previous emails?, choose Yes, analyze previous emails to process historic content, or No, just download history to import it without historic AI analysis. Include spam in analysis is optional when analysis is selected. New emails are analyzed automatically.
3. For Google or Microsoft, continue through the provider’s consent screen using the intended mailbox. If the provider option is unavailable, ask the company administrator about connection availability.
4. For IMAP, enter the mailbox address and provider-supplied host, port, username and password or app password. Configure SMTP for sending and use the provider’s TLS settings. IMAP receives messages; SMTP sends them.
5. Submit the connection, then find its address in the mailbox list. If Choose analysis appears, complete that choice and Start download. Decide later leaves that download waiting.
6. Open Inbox, select the mailbox and wait for its first messages. Before sending, check that the intended address appears as a usable From mailbox in Compose.

Check the result and recover

The mailbox should appear in both Settings and Inbox. A successful download does not prove SMTP can send. If receiving works but sending does not, review SMTP settings or the provider’s sending authorization. For a rejected password or consent, correct the stated cause instead of repeatedly adding the mailbox.

Historic AI analysis can consume usage and take longer than downloading. Check Background AI and the mailbox’s progress if messages are visible but their extracted work is still missing.
