GUIDE 04 / MONEY
See which invoices are still open.
An open invoice is a document plus a payment you have or have not seen. Match those two, and the receivables list gets closer to what is still owed.
WHAT YOU’LL TAKE AWAY
A useful next step,
not another open tab.
- Prepare the workspace
- Example: North Studio
- Keep the two directions apart
- Bring the payments in
- Match the payment you mean
- Check the outcome
- Avoid a common mistake
Prepare the workspace
Have permission to view and update financial records, the invoice file and a booked bank payment or reliable evidence of an external payment.
Example: North Studio
North Studio issued fictional invoice NS-104 to Willow Bakery for EUR 1,200. The client paid EUR 400 first and EUR 800 later. These are example business amounts, not GoodCompany prices.
Keep the two directions apart
Bills are invoices and receipts the company owes. Receivables are invoices you issued and the incoming payments still expected. Mixing them makes both lists worse.
Record an issued invoice from the client or project with Add issued invoice. That form stores the invoice and an optional file. It does not email the invoice. Then find it in Receivables.
Bring the payments in
Upload a bank statement PDF from Settings → Accounts. That import is available on Solo as well as Team and Agency. Clean imports can book on their own. If a file needs a look, open Review, check the rows against the PDF, and commit only after that check.
Live bank feeds require Team or Agency and an available provider connection. Lunch Flow requires its own subscription, billed separately from GoodCompany; review its terms before connecting. You do not need a live feed to match a payment.
Match the payment you mean
- In Transactions, filter Missing invoice or Money in. Open the payment. Use Choose invoice or Add invoice, or review a suggested match and confirm or reject it.
- On a bill, open Details & payments and choose Confirm match or Not this one. On a receivable, use Confirm payment, Not this one, or Choose a payment and then Link this payment.
- A similar amount is not a match. Check the reference, the date, the client and the document. Remove link drops a wrong connection and keeps the transaction.
- Use Mark paid (no bank row) only when you mean to record paid status without a bank payment. It is not a substitute for a match you have not looked for yet.
Check the outcome
Review both payment links, allocated amounts and the outstanding balance. A suggested match needs confirmation. For a cross-currency instalment, verify the invoice-currency allocation against actual payment evidence before linking. If the control does not let you express the correct amount, leave it unresolved and contact support; do not accept the displayed balance as verified.
Avoid a common mistake
Do not mark the whole invoice paid after the first instalment. Set aside only removes an item from active review; open the Set aside view and use Bring back to restore it. It does not pay the invoice.

NEXT GUIDE
Keep a week of leads moving.
A lead without a next date disappears into the list. The useful week is a short pass over Follow-ups due, not a new pipeline ritual.
ContinueGOOD QUESTIONS
A few specifics.
Can I do this without connecting a bank?
Yes. Upload a statement PDF from Settings → Accounts. Review anything the import flags, then match the booked payments to bills or issued invoices.
What if two invoices have the same amount?
Open the payment and the invoice. Match the one that fits the reference, date and client. Reject the suggestion that only shares an amount.
