GUIDE 05 / LEADS

Keep a week of leads moving.

A lead without a next date disappears into the list. The useful week is a short pass over Follow-ups due, not a new pipeline ritual.

WHAT YOU’LL TAKE AWAY

A useful next step,
not another open tab.

  • Prepare the workspace
  • Example: North Studio
  • Put a date on it the day you add it
  • Write from the lead, not from a blank compose window
  • Convert when it is client work
  • Check the outcome
  • Avoid a common mistake

Prepare the workspace

Manual leads need Leads access; sending also needs a usable mailbox and send permission. Apollo discovery and enrichment need Team or Agency and an available connection.

Example: North Studio

North Studio keeps prospective customer Cedar Florist in Leads. Maya sets a Friday follow-up about a proposal, then converts the lead only after the customer agrees to start work.

Put a date on it the day you add it

  1. Create the lead in Leads with a company name and any domain, contact or location you already have.
  2. Open the lead. On Overview, use Set follow-up and write a note about what the date is for.
  3. During the week, open Follow-ups due. When you have handled one, use Mark done or Clear follow-up, then set the next date if there is one.

Write from the lead, not from a blank compose window

Choose Write email on the lead, or Email beside a contact. Pick the recipient and a mailbox that can send. Write the message, or set a goal and choose Write first draft, then read the subject and body before Send.

Use Remind me to schedule a follow-up after sending; check replies yourself before following up. Save draft keeps the message for later. Attach a relevant inbox thread from Emails with Attach from inbox so the history sits on the lead.

Apollo search and enrichment are on Team and Agency. Solo can still add leads, follow-ups and outreach by hand.

Convert when it is client work

Use Convert to client and read the confirmation. Contacts and linked emails move to the client. Projects and invoices belong on that client after the conversion.

Converting and deleting are different. Deleting a lead removes its contacts and email links from the lead record. Leave a prospect in Leads until there is a client relationship to keep.

Check the outcome

Check the saved follow-up date and the lead’s email history. After conversion, open the client and confirm the contacts and linked emails before creating the new project.

Avoid a common mistake

Lead outreach now enters the outgoing-mail queue. Review the address, mailbox and message before Send, then use Undo send before delivery starts if needed. Remind me schedules a follow-up; do not assume a reply automatically clears it.

NEXT GUIDE

Ask your Sidekick, then decide.

Sidekick is useful when the question names a record you already keep: an open task, an unpaid invoice, a client thread. Interactive proposals wait for review; separately configured background work has its own behavior.

GOOD QUESTIONS

A few specifics.

Should a prospect go straight into Clients?

Use Leads until there is a client relationship. Clients is the home for projects, milestones and issued invoices. Convert to client when that work is real.

Do I need Apollo to keep leads?

No. You can add leads and follow-ups on any plan. Apollo discovery is a Team and Agency connection.
