GUIDE 14 / TEAM
Give a teammate enough access to do the job.
North Studio invites Leo to deliver Willow Bakery’s handover. He needs tasks and project files, but Maya does not want to share her personal mailbox.
WHAT YOU’LL TAKE AWAY
A useful next step,
not another open tab.
- List the job and the sources it needs
- Invite and test one real task
- Check both access and limits
- Resolve a blocked invitation at its cause
List the job and the sources it needs
You need invitation permission and seat capacity. Pending invitations count toward seats. Identify the pages Leo needs and any private mailbox, calendar, Sidekick conversation or Vault entry that requires separate sharing.
Invite and test one real task
- Open Settings → Members → Invite someone. Enter Leo’s intended account email and choose a role.
- Review the role permissions before Invite. Use Roles when an existing role does not fit and you are allowed to manage roles.
- Check Pending invitations until Leo accepts. Cancel an incorrect invitation rather than sharing its link with someone else.
- Assign the handover task and share only the additional resources it needs.
- Ask Leo to open the task, supporting file and source conversation using his own account. Correct any missing access deliberately.
Check both access and limits
The accepted member should appear in Members with the intended role. An assigned task does not grant access to all linked sources, and a seat does not add finance or owner permissions.
Resolve a blocked invitation at its cause
If seat capacity is full, review pending invitations and Billing before retrying. If one resource is missing, inspect its sharing and the role instead of granting broad admin access.

Hand over work before someone leaves.
Leo is finishing his contract with North Studio. Maya wants Willow Bakery’s next action and shared business records to remain usable after he leaves.

A few specifics.
Can an invited collaborator see everything?
No. Their role and resource sharing determine what they can see and change.
Does an unused invitation occupy capacity?
Yes. Review and cancel invitations you no longer need.
